Challenge
Universidad Adolfo Ibáñez, one of Chile's most important universities, faced the complexity of managing a diverse workforce across multiple campuses. The primary challenge was information fragmentation. The institution struggled with manual and dispersed processes that prevented the people team from having a centralised and unified view of data. An administrative service desk existed where the people team constantly responded to basic queries about payslips or certificates. The lack of data traceability and the need for single, accurate information were critical issues.

Solution
Buk was implemented as a comprehensive people management platform, enabling digital transformation centred on the employee. The solution achieved: moving from reactive to proactive management where the employee owns their information, prioritising user experience to enable academics and administrators to adopt the tool quickly, achieving effective decentralisation of holiday and administrative leave requests, ensuring compliance and legal security with tools that provide accuracy in payroll calculations and adherence to Labour Directorate regulations, implementing electronic contract and amendment signatures as a fundamental change in recruitment process speed, and gaining visibility for decision-making with real-time indicators. The Employee Portal and mobile app enabled teaching and administrative staff to manage their own information.
Results
Manual bureaucracy and the administrative service desk were eliminated. Legal compliance with the Labour Directorate was ensured. Data-driven decision-making was enhanced. Real-time indicators on workforce status and internal movements were obtained. Employees gained the autonomy to download payslips, request holidays and electronically sign contracts or amendments. The need for in-person processes was eliminated and internal satisfaction increased. Information flows without manual intermediaries, ensuring data accuracy and integrity.
