Challenge
María Ayuda, with over 40 years of history and nine residences across different regions of Chile with more than 300 employees, faced a common challenge in organisations with decentralised operations: maintaining control of employment documentation and responding promptly to regulatory requirements. The main problem was document management control. With nine residences throughout Chile, they did not have a system to centralise their personnel documentation. Everything depended on physical formats in each location, which left them exposed to inspections and generated significant logistical delays. The lack of a centralised view complicated their response to audits and inspections, where having updated and accessible documentation is essential.
"Our main problem was document management control. With nine residences throughout Chile, we did not have a system to centralise our personnel documentation. Everything depended on physical formats in each location, which left us exposed to inspections and generated significant logistical delays." - Catalina López, Head of Payroll, Fundación María Ayuda. "Today we can devote more time to generating benefits, actively care for our employees and strengthen their wellbeing within the foundation." - Ignacia Moreno, Payroll Coordinator
Solution
Buk enabled María Ayuda to advance the digitalisation of their document processes. The implementation of electronic signatures and the centralisation of documentation allowed contracts, annexes and other employment documents to be managed from a single platform, eliminating much of the manual coordination that previously required weeks or months of follow-up. Today they send bulk lists through the platform and can view the status of signatures immediately. If they see that an employee has a pending document, they can manage the reminder instantly from the central dashboard. Employees gained autonomy to access documents, review employment information and carry out various procedures without relying on manual processes or intermediaries.
Results
María Ayuda managed to centralise employment documentation for more than 300 employees. They gained real-time visibility over contracts and pending signatures. Document management timescales were significantly reduced. Responses to audits and inspections were facilitated. Operational time was freed up for wellbeing initiatives and people management. The payroll team can devote more time to generating benefits, actively care for employees and strengthen their wellbeing within the foundation.
