Challenge
Stiftung Rossfeld provides housing, schooling, vocational training and employment for people with physical disabilities. 330 children and adults as well as 230 employees live, learn and work at Rossfeld. Budget pressures and fundamental changes in state funding gave the institution, founded in 1960, little time to align itself along business management lines. The trigger for this new strategic direction was the Canton of Bern's decision to fund public organisations no longer on an object-based but rather on a subject-based or needs-based approach. The greatest need for action initially emerged in the therapy centre, where every service per client had to be recorded and billed according to tax points. However, the entire therapeutic process was to be mapped in a single software system.

Solution
Two SME software providers ultimately met the extensive requirements catalogue for the new software. The staff made the decision, testing both programmes and unanimously choosing Proffix. Two years after Proffix was introduced in the therapy centre, not only has the state-mandated billing been implemented at all levels, but every client and the services provided to them are documented in Proffix and the processes are digitalised without media breaks. All services such as meals, accommodation, care, education and therapies are continuously recorded by all authorised persons decentrally in the monthly report in Proffix. At the end of the month, Proffix generates invoices for over 330 clients in accordance with the requirements of the Canton and health insurance companies. With Proffix, the entire personnel and finance department was also reorganised. All data for the 230 full-time and part-time employees is centrally recorded, hours worked are reported, and monthly payroll invoices are ready at the click of a button for email dispatch. In the finance area, Rossfeld works with all Proffix functions including e-banking, which means the entire booking process is largely automated.
Results
Consistently organised: Business-managed corporate organisation implemented entirely with Proffix. Consistently digitalised: Digitalisation of all processes in the areas of personnel, finance and service offerings. Largely automated: Automatic data exchange with third parties thanks to interfaces such as MediData and Swissdec. Intuitive and user-friendly: Simple and logical workflows for 230 employees. Many important administrative processes that can be digitalised today are being enabled early through the appropriate interfaces. This includes, for example, MediData for electronic service billing with health insurance companies as well as the Unified Wage Notification Procedure (ELM). The foundation is currently preparing for ISO 20022.
