Client is one of the largest global Health technology companies providing Medical equipment and Home appliances to its customers. The client was dealing with separate service providers in each country across the MENA region, creating significant operational challenges. They faced separate contact points in each country requiring extensive clerical work for communicating with every service provider. There were no standard reports across the region, with different types of reports received from each country. The client had to prepare MIS reports themselves as no service provider had access to other countries' data. Additionally, the security standards of the majority of service providers were not meeting standard requirements, creating compliance and security concerns.
Solution
HLB HAMT provided a comprehensive payroll outsourcing solution that unified the entire MENA region's payroll through a single service provider. The implementation process included assigning a dedicated Project Manager and forming a specialized team, communicating the team structure with the client including backup and escalation contacts, identifying common reporting requirements and customizing them in the payroll system, providing a centralized platform for document changes, initiating requests for online user access for client bank portal and starting payment submissions, providing access for payroll & HR requests (payslips, certificates, OT requests, etc.), and arranging frequent review meetings with the client to review and improve processes.
Results
The implementation resulted in tremendous time savings with a fully automated solution leading to 20% savings of the total payroll cost. The client now has one global contact point across the enterprise, replacing multiple past contacts. Full compliance was ensured with statutory requirements across 15 countries within the MENA region. A unified dashboard replaced multiple past systems, improving efficiency and transparency. The successful implementation helped the client transition from multiple solution providers to a single provider, significantly streamlining their regional operations.
